Position: Account and Administration- Senior officer

Summary: The person will be responsible for leading accounts, administration and human resources of the organization. The primary focus will be on accounts and administration. Human resource activities for projects will be managed in coordination with the Project Manager and the Human Resource Officer.

Specific Responsibilities:

Management and supervision of Administration:

  • Maintain files, records, office consumable items
  • Management of office and accounts support staff
  • Management of office reception & relation works.
  • Management of inventory
  • Procurement of office supplies, equipment & necessary training materials in coordination with the procurement committee as needed.
  • Arrangement of logistics for office staffs, trainings & meetings
  • Correspondence and typing (English/Nepali)
  • Management of office space, furniture, equipments and utilities
  • Office and board meetings arrangements-coordination.
  • Other administration related tasks

Management and supervision of accounts:

  • Transaction recording, vouchers preparing, ledger maintaining
  • Preparation and closing of accounts at regular intervals
  • Preparation of internal accounting reports & Audit report
  • Preparation of monthly bank reconciliation of all the projects
  • Preparation of monthly staffs payroll, social security fund provision/management
  • Preparation and filing of TDS & E-tds
  • Coordination with central and local government agencies regarding tax, accounting and administrative matters.
  • Maintaining inventory records and annual inventory verification
  • Other accounting tasks

Management and supervision of Beneficiary/ Client Service:

  • Clients dealing from administration/ account aspects
  • Information dissemination
  • Travel and event management
  • Travel and tickets arrangement of office staffs for office related and field work
  • Preparation/ organization of events, workshops, meetings.

Preparation of Reports and coordination with Partners

  • Preparation and coordination for internal and external/donor audit
  • Preparation of accounting reports

Requirements:

  • Bachelor’s degree in Accounting, Finance, Business Administration, Management, or a related field (Master’s degree preferred).
  • At least 5–7 years of progressive work experience in accounts, administration, and/or human resource management, preferably in NGOs/INGOs, projects, or development organizations.
  • Strong knowledge of financial accounting, including bookkeeping, ledger maintenance, bank reconciliation, payroll processing, taxation (TDS/E-TDS), and audit preparation.
  • Proven experience in administrative management, including office operations, procurement, inventory management, logistics, and staff supervision.
  • Experience in project financial reporting, preparation of internal accounting reports, and coordination during audits.
  • Practical experience in dealing with government offices, tax authorities, banks, and other regulatory agencies.
  • Familiarity with Human Resource coordination, including payroll, social security fund (SSF) management, and staff-related administrative processes.
  • Proficiency in using accounting software (e.g., Tally, QuickBooks, or similar), MS Office applications (Excel, Word, Outlook) and google suites (Doc, Sheets, gmails).
  • Strong organizational, leadership, and supervisory skills with the ability to manage multiple tasks and teams effectively.
  • Excellent communication skills in both English and Nepali (written and verbal), including official correspondence and report writing.
  • Ability to plan and manage events, training, workshops, and travel logistics.
  • High level of integrity, attention to detail, and confidentiality in handling financial and administrative matters.
